Team Picnic PostNL: Riding faster with finance under control

When a world-class cycling team scales up, every second and every euro counts. For Team Picnic PostNL, managing a global operation across races, riders and regions had become a logistical challenge. Behind the scenes, their small finance team was racing to keep up.

Processes that once worked for a small organisation were no longer fit for a WorldTour cycling team managing hundreds of transactions each month across Europe, North America and beyond.

From chasing receipts to real-time clarity

By mid-2024 the team decided to shift gears and implement Moss to bring structure, speed and automation to their expense management.

“The setup was very smooth,” says Thijs Schreijer, working within the Operations department of the team. “We had a few sessions with the Moss onboarding team, and within a few weeks we had the cards live, exports running into our accounting tool and the team ready to go.”

For Niels ten Brinke, Partnership Manager, Moss became indispensable almost overnight.

Today, the team uses Moss corporate cards to cover travel, race logistics and event spend. Every transaction syncs automatically, giving finance complete oversight of spend in real time.

Efficiency that keeps pace

With Moss, the time saved on manual admin has been transformative. “The biggest change,” Schreijer explains, “is the shift in responsibility. Before, people could sometimes forget to hand in their receipts. Now the app automatically reminds them, and if receipts are not uploaded the card is blocked. It’s a simple but effective system. People take accountability.”

This automation has replaced hours of policing with proactive control. “It is definitely more accurate now,” adds ten Brinke. “The room for error has decreased a lot.

Before, using Excel as an administration tool, things could be missed. Moss ensures every transaction is complete. It’s faster but also much cleaner.”

During a recent trip to the United States, the team tracked their entire conference budget directly in Moss.

A lighter workload and a happier team

While financial efficiency was the goal, the benefits have extended further. “Everyone in the team is happy with the transition to Moss,” Schreijer reflects. “It is a relief for both the office and the riders.”

Though their focus is still on winning races, Moss ensures that the business behind the team operates with the same precision as their riders. “It is not about cutting costs,” ten Brinke adds. “It is about making operations more efficient. Time is money, and we have gained a lot of it back.”

The road ahead

With finance under control, Team Picnic PostNL is looking ahead to more integration. The team’s external accountants already receive Moss data via CSV exports into their accounting system, a setup that keeps financial data secure while enabling fast reconciliation.

As the team continues to grow, Schreijer sees Moss as a lasting part of their toolkit. “Change is always difficult at first,” he says, “but once we started using Moss, everyone realised how easy it is. It is intuitive, reliable and gives us control, exactly what you need when you’re operating at WorldTour level.”
